DocSweep

DocSweep reads document control numbers from Excel, searches selected document sources, summarizes the results, and writes the collected information back to the workbook.

Prepare the workbook

  • Use an .xlsx workbook.
  • Put document control numbers in column A.
  • Start document rows at row 2 so row 1 can remain the header.
  • Close the workbook in Excel before DocSweep saves results to it.
  • Keep a backup when testing a new workbook format.

Prepare source sites

DocSweep currently supports these sources:

  • Vertiv
  • Asset Library
  • PD Cloud
  • MASW

Use the controlled browser to sign in to every source you intend to include. Disable any source that is not needed for the current sweep.

Run a sweep

  1. Select Browse and choose the Excel workbook.
  2. Enable the source sites to include.
  3. Use each external-link action when a site needs to be opened for sign-in.
  4. Select Verify Sites.
  5. Confirm that every enabled site reports Ready.
  6. Start the sweep and monitor the current site, control number, progress, and summary.
  7. Wait for DocSweep to save the completed results to Excel.

Understand the results

ResultMeaning
FoundThe source returned a matching document.
Not FoundNo matching document was available from that source.
ErrorThe source could not complete the lookup. Review Logs.

The summary includes totals, success rates, and elapsed time for each enabled source.

Cancel or recover a sweep

When cancelling, DocSweep lets you save results collected so far or discard them. If saving to the selected workbook fails, use the recovery option to save the available results to a new file.

Do not edit during a sweep

Avoid changing the workbook or browser tabs while DocSweep is actively searching. Site navigation or workbook locks can interrupt the operation.
